A useful exhibition budget starts with the job your stand needs to do. A product demonstration booth, a meeting space and a graphics-led display need different layouts and production work. Compare suppliers against one written scope rather than comparing a single price per square metre.

Separate organiser charges from stand production
Your exhibition organiser may charge separately for floor space, power, internet, exhibitor passes and mandatory venue services. Ask what your booking includes before setting a fabrication budget. A bare-space booking and a shell-scheme booth are different starting points.
Keep those costs separate from design, structure, graphics, furniture, lighting, transport and installation. Request a clear list of inclusions, exclusions and applicable taxes so that the final proposal can be compared fairly.
Decide where custom work adds value
Share the stall dimensions, open sides, product sizes and visitor activities with your designer. A heavy display item or a private meeting room can affect construction and circulation. Lighting, finish quality, storage and graphics should support those needs rather than compete for space.
Tell the team which elements may be reused at another show. Repeat-use graphics, adaptable display components and transport-friendly dimensions can change the approach. Ask the supplier to explain what can realistically be reused and what needs replacing.
Compare the same deliverables
Use the approved layout and material schedule as the basis for each quote. Check the structure, floor treatment, electrical work, print sizes, furniture quantities and installation responsibilities. A lower headline quote can exclude items that another supplier has already included.
- Is 3D design included, and how are revisions handled?
- Who arranges transport, loading, installation and dismantling?
- Which organiser services must you book directly?
- How are design changes approved and priced?
- What payment milestones and handover checks apply?
Send a brief that produces a useful estimate
Include your show name, city, dates, floor plan, stand dimensions, open sides, brand guidelines, product list and preferred budget range. Share the organiser's technical manual if it is available. The team can then identify gaps before quoting.
Sunlight Event Solution provides design, fabrication and installation support. Send your requirements for a project-specific estimate; the final price depends on the approved design, scope, venue requirements and delivery schedule.
Common questions
Can a stall be priced by floor area alone?
Floor area is a starting point. Structure, finishes, lighting, graphics, product requirements and venue logistics also affect the scope, so a detailed quotation is more useful than an area-only estimate.
What should I share to get a quotation?
Share the show dates and location, stand size, open sides, floor plan, brand assets, display needs and budget range. Include the organiser's technical manual when available.
